Document automation is software that handles documents end-to-end without manual handling between steps. The full chain typically includes reading incoming documents and extracting structured data, generating new documents from templates and database fields, routing them for approval or signature, archiving the finished output, and surfacing the audit trail.
The traditional alternative is a person opening a PDF, retyping into Excel, retyping into the accounting system, generating a Word document from a template, attaching to email, chasing the approver, filing in SharePoint. Each step is fine on its own. Stitched together for 200 documents a week, the total cost is enormous and the error rate climbs steadily.
Typical shapes a document automation build addresses: invoice automation pulling supplier invoices into Xero with line-item extraction and approval routing. Quote generation pulling job parameters from a CRM into a branded Word document, sending for e-signature, posting the signed copy back to the customer record. Compliance certificate generation for a field-service business, populated from engineer mobile input, sent automatically to the customer's compliance system. Onboarding pack automation for a recruitment firm, generating the right offer letter and contract from candidate ATS data. Each one replaces a manual chain of 5 to 10 steps.
When documents flow through your business in volume (more than 30 of the same type per week). When the document workflow connects systems that do not yet talk to each other directly. When errors in the manual process are costing you money (missed line items, wrong addresses, version-control disputes). When customer or supplier expectations are turning on speed (24-hour quote turnaround beats 72-hour). When compliance or audit requires a traceable chain you do not currently have. Fixed-quote bands: £5,000 to £20,000 for a focused build, £15,000 to £40,000 for multi-document end-to-end automation.
When the volume is too low to justify the build (under 20 documents a week per type, manual handling is often cheaper). When every document is genuinely unique and there is no template structure to automate around. When the documents are bound up in regulated processes where automation creates audit risk rather than reducing it. When the business is restructuring fast enough that whichever workflow you automate will be wrong in six months. In these cases, fix the process first or use simple SaaS tools (DocuSign, PandaDoc, Dext) without committing to a custom build.
Digital Signet document automation builds are fixed-quote, scoped before work starts, and shipped on your environment with you owning the code, the templates and the audit trail. We integrate with Xero, QuickBooks, Sage, HubSpot, Salesforce, DocuSign and most other tools in the document workflow. The delivery shape is on the AI implementation page. The longer guide on the data extraction part of the chain is at PDF data extraction.
